The Challenge

An e-commerce brand was handling all WhatsApp messages manually. With 100+ messages per day, their team was overwhelmed — messages were missed, orders went unconfirmed, and customers were unhappy waiting hours for replies.

The Solution

I built a complete WhatsApp automation system using n8n connected to the WhatsApp Business Cloud API.

What the System Does

  1. Order Confirmation — When a WooCommerce order is placed, an instant WhatsApp message is sent with order details and estimated delivery
  2. AI Customer Support — Incoming messages are processed by an OpenAI-powered agent that answers FAQs, checks order status, and handles returns — automatically
  3. Follow-up Sequences — 3-day and 7-day post-purchase follow-ups asking for reviews and suggesting related products
  4. Escalation Logic — If the AI isn't confident in a response, it flags the message and notifies a human agent via a dedicated WhatsApp group
  5. Logging — All conversations logged to Google Sheets for quality review
